Privacy Policy
1. Introduction
Prince Tires ("we," "us," "our") respects your privacy and is committed to protecting the personal information you entrust to us. This Privacy Policy explains what information we collect, why we collect it, how we use and share it, and the rights you have over it.
This policy is governed by Canadian privacy law, including the federal Personal Information Protection and Electronic Documents Act (PIPEDA), Alberta's Personal Information Protection Act (PIPA), and Canada's Anti-Spam Legislation (CASL). It applies to information collected by Prince Tires in connection with our products, services, website (princetires.ca), our online store, our booking system, our wholesale portal, our mobile and desktop forms, in-store visits, phone calls, text messages, and emails.
2. Who we are & scope
Prince Tires is a tire retailer and automotive service provider based in Calgary, Alberta, Canada. We sell new and used tires, perform tire installation, balancing, rotation, flat repair, TPMS service, seasonal swaps, and related work for retail and wholesale customers across Calgary and surrounding communities.
This policy covers personal information about: customers who shop online or in-store, customers who book service appointments, wholesale account holders, newsletter subscribers, individuals who contact us through any channel, and visitors to our website.
This policy does not cover information processed by independent third parties through their own systems (for example, your bank or credit-card issuer), even if you reach those services through a link on our site.
3. Information we collect
The categories of personal information we may collect include:
Identification & contact information
- First and last name
- Email address
- Mobile or landline phone number
- Mailing or service address
- Business name, business address, and trade-account references (wholesale customers only)
Vehicle information
- Year, make, model, and trim
- Tire size, load and speed rating
- VIN (only when needed to source a part or honour a manufacturer warranty)
- Licence plate (only when used to track vehicles in our service queue)
Transaction information
- Products purchased, prices, taxes, shipping address, order history
- Service appointments booked, services performed, invoice history
- Payment-card last 4 digits, card brand, and authorization tokens (full card numbers are processed by our PCI-compliant payment processor and are not stored on our servers)
Account information
- Login credentials (passwords are hashed; we never see them in clear text)
- Saved vehicles, saved addresses, marketing preferences
Communications
- Email content you send to us, including replies to our marketing
- SMS content you send to our published number
- Phone-call notes (we do not record calls without notifying you)
- Reviews, comments, and survey responses
Technical & usage information
- IP address, browser type and version, operating system
- Pages viewed, products clicked, items added to cart
- Referring URL and search terms used to find us
- Device identifiers and approximate location (city-level) inferred from IP
Information from third parties
- Trade references and credit information (wholesale applicants only)
- Public business directory listings (wholesale applicants only)
- Reviews and ratings from Google, Facebook, and similar platforms
We do not intentionally collect sensitive categories of personal information such as Social Insurance Numbers, health information, biometric data, or political affiliation. If you provide such information voluntarily (for example, in an open-text comment), we will treat it confidentially and delete it once it is no longer needed.
4. How we collect it
- Directly from you when you create an account, place an order, book an appointment, fill in a contact or wholesale-application form, subscribe to our newsletter, write us an email, send us a text, leave a voicemail, or speak to us in store.
- Automatically when you visit our website, through cookies and similar technologies (see Section 13).
- From third parties with your consent, or where the law permits — for example, fraud-prevention services, payment processors confirming a transaction, or trade references you have given us.
5. Why we collect it (purposes)
We collect, use, and disclose personal information only for purposes that a reasonable person would consider appropriate in the circumstances, and only to the extent necessary to fulfil those purposes. Our purposes are:
- Sales & service. To process orders, deliver products, schedule and perform service appointments, fit and warrant tires, manage returns, and answer your questions.
- Account management. To create and maintain your customer account, save your vehicles and preferences, and let you review your order and service history.
- Communications. To send transactional messages (order confirmations, appointment reminders, invoices), respond to your inquiries, and notify you of changes to our services or these policies.
- Marketing. Where you have given consent, to send promotional emails, SMS messages, postcards, or other commercial electronic messages about our products, services, sales, and seasonal reminders.
- Wholesale. To evaluate, approve, and manage trade-account applications and to provide pricing, fulfilment, and credit terms appropriate to your account.
- Improvement & analytics. To understand how customers use our site and services, troubleshoot bugs, prevent fraud, and improve our product offering.
- Legal & compliance. To comply with applicable laws, respond to lawful requests from public authorities, enforce our Terms of Use, and protect our rights, property, and the safety of our staff and customers.
If we ever wish to use your personal information for a purpose materially different from those listed above, we will obtain your consent first.
6. Consent
By providing us with your personal information, you consent to its collection, use, and disclosure as described in this policy. Depending on the sensitivity of the information and the purpose, we rely on either your express consent (for example, a checkbox you tick when you sign up for marketing) or your implied consent (for example, when you give us your shipping address so we can ship an order you have just paid for).
You may withdraw consent at any time, subject to legal or contractual restrictions and reasonable notice. Withdrawing consent for some uses (for example, processing your payment) may make it impossible for us to provide the related product or service. To withdraw consent, contact our Privacy Officer (Section 15).
7. Marketing communications & CASL
Canada's Anti-Spam Legislation (CASL) requires us to obtain your consent before sending most commercial electronic messages (CEMs), to identify ourselves clearly in every CEM, and to give you a working unsubscribe option in every CEM.
We will only send you marketing emails or SMS messages where:
- You have given us express consent (for example, by ticking the marketing-opt-in checkbox when creating your account, subscribing to our newsletter, or replying "YES" to a confirmation message); or
- You have given us implied consent under CASL — for example, you are an existing customer who purchased a product from us within the previous 24 months, or you have made an inquiry within the previous 6 months — and the message relates to similar products or services.
How to unsubscribe. Every marketing email contains an unsubscribe link at the bottom. To opt out of marketing SMS, reply STOP to any message we send you. You can also email info@princetires.ca with the subject line "Unsubscribe" and we will remove you from all marketing lists within 10 business days, as CASL requires.
Even if you unsubscribe from marketing, we will continue to send you transactional messages that are necessary to provide the products and services you have requested (such as order confirmations and appointment reminders). These are not subject to CASL's consent requirements.
8. How we share your information
We do not sell, rent, or trade your personal information. We share it only with:
- Service providers who process information on our behalf and under written agreements that require them to protect it and use it only for the purpose we have specified. These include:
- Shopify Inc. (our e-commerce platform and customer-account host)
- Payment processors (Shopify Payments, Visa, Mastercard, Interac, and similar)
- Shipping and courier companies (Canada Post, Purolator, FedEx, UPS, and similar)
- Email-delivery providers (including Resend) for transactional and marketing email
- SMS-delivery providers for transactional and marketing SMS
- Analytics and tag providers (such as Google Analytics, where used) — see Section 13
- Cloud-hosting and database providers (including Vercel and Upstash) where our admin app is hosted
- IT, accounting, legal, insurance, and other professional advisors
- Tire and parts manufacturers when needed to honour a manufacturer warranty claim on your behalf.
- Public authorities when we are required by law to disclose information (for example, in response to a court order or a tax audit).
- A successor if we sell, restructure, or transfer all or part of our business — in which case the buyer will be required to honour this policy or notify you of any material changes.
9. International data transfers
Some of our service providers store and process information outside Canada, primarily in the United States. When personal information is processed in another country, it may be subject to the laws of that country, including lawful access by foreign courts and government authorities. We use service providers who maintain reasonable security and contractual safeguards comparable to Canadian standards.

10. How long we keep it
We keep personal information only as long as we need it for the purpose for which it was collected, or as required by law. General retention guidelines:
- Customer accounts: for as long as the account is active, plus up to 24 months of inactivity, after which the account is anonymized or deleted on request.
- Order and invoice records: at least 6 years after the end of the tax year in which the transaction occurred, as required by the Income Tax Act.
- Booking records: 24 months after the appointment, then anonymized.
- Marketing-consent records: for the duration of consent plus 3 years after withdrawal, so we can prove we honoured your opt-out.
- Website logs: typically 30–90 days, longer if needed for security investigation.
- Wholesale credit records: 7 years after the account closes.
When information is no longer needed, we securely delete or anonymize it.
11. How we protect it
We use a combination of physical, organizational, and technical safeguards to protect personal information against loss, theft, and unauthorized access, use, modification, or disclosure. These include:
- Encrypted connections (HTTPS/TLS) for all traffic between your browser and our servers
- Encryption at rest for stored customer data on our cloud infrastructure
- Hashed passwords (we never store or transmit your password in clear text)
- Role-based access controls and audit logging on our admin app
- Multi-factor authentication for staff accounts
- Regular software updates, vulnerability monitoring, and dependency scanning
- Locked filing cabinets for any paper records, accessible only to authorized staff
No method of transmitting or storing data is perfectly secure. While we strive to protect your information, we cannot guarantee absolute security. If a breach affecting you ever occurs, we will notify you and, where required, the Office of the Privacy Commissioner of Canada and the Office of the Information and Privacy Commissioner of Alberta in accordance with applicable law.
12. Your rights
Subject to certain legal exceptions, you have the right to:
- Access the personal information we hold about you and receive a copy of it
- Correct personal information that is inaccurate, incomplete, or out of date
- Withdraw consent to ongoing collection, use, or disclosure (subject to legal and contractual limits)
- Unsubscribe from marketing communications at any time
- Delete your customer account (subject to our retention obligations under tax and consumer-protection law)
- Make a complaint to us, or to the relevant privacy regulator
To exercise any of these rights, contact our Privacy Officer (Section 15). We will respond within 30 days, or notify you within that period if we need additional time. There is no fee for an access or correction request, except where the request is excessive — in which case we will tell you the cost in advance.

13. Cookies & tracking
Our website uses cookies and similar technologies for essential, functional, analytics, and marketing purposes:
- Strictly necessary cookies keep you signed in, remember the contents of your cart, and let the checkout work. These cannot be turned off.
- Functional cookies remember preferences such as your selected vehicle or recent searches.
- Analytics cookies measure how customers use our site so we can improve it. We use Shopify analytics and may use Google Analytics; we do not use them to identify individual visitors.
- Marketing cookies are used by Shopify and our advertising partners (where enabled) to show you more relevant ads. You can opt out at any time using the cookie preferences link in the footer or your browser settings.
Most browsers let you block or delete cookies. Doing so may break parts of the site that depend on them. Our site honours the "Global Privacy Control" (GPC) signal where present.
14. Children's privacy
Our website and services are intended for adults aged 18 or older. We do not knowingly collect personal information from anyone under 18. If you believe a child has provided us with personal information, please contact our Privacy Officer (Section 15) and we will delete it promptly.
15. Changes & how to contact us
We may update this Privacy Policy from time to time to reflect changes to our business, our services, or the law. The "Effective" date at the top of the policy indicates when the current version took effect. If a change is material, we will give you reasonable advance notice (for example, by email or by banner on our site) before it takes effect.
